Person-hours = people × minutes ÷ 60, scaled by meetings per week and working weeks.

Formula

Annual time value = people × hourly cost × meeting minutes ÷ 60 × weekly meetings × working weeks. Cost per meeting = people × hourly cost × minutes ÷ 60. Cost per week = cost per meeting × weekly meetings.

Worked example

9 people at $180/hour for 60 minutes: cost per meeting = 9 × 180 × 60 ÷ 60 = $1,620. At 3 meetings per week that is $4,860 per week, and over 48 working weeks the annual time value is $1,620 × 3 × 48 = $233,280, or 1,296 person-hours per year. Use Reset example above to reproduce this result.

Scope and limitations

This is an opportunity-cost estimate based on the average hourly cost you enter, not necessarily an avoidable cash expense: salaried staff are paid whether or not they attend. Preparation time is included only if you add it to the meeting length. Room, tooling, and travel costs are not included. The hourly figure should be a fully loaded cost (salary plus on-costs) if the result is meant to represent total staff cost.

FAQ

Is this a cash saving if I cancel the meeting?

Not necessarily. It is the value of staff time freed up. Cash is saved only if that time would otherwise be paid overtime or contractor time.

Should the hourly rate include on-costs?

Yes, if you want total staff cost. Use a fully loaded rate — salary plus benefits, payroll taxes and overhead — rather than base pay alone.

What about preparation time?

Add it to the meeting length, or run a second calculation for preparation and add the two results.

Why 48 working weeks?

It is the example assumption (52 weeks less holidays and leave). Change it to match your own calendar.

Does a shorter meeting save proportionally?

In this model, yes: cost scales linearly with minutes, people, and frequency, so halving any one of them halves the cost.
